VAWTER, Assistant Director Information Services Department SUBJECT ..Title Approve a two-year agreement with Dell Technologies for the citywide Adobe Enterprise Agreement, covering all Adobe products with an annual cost of $186,157.13, for a total contract amount of $372,314.26. ..Body RECOMMENDATION Staff recommends that the City Council approve and authorize the Director of the Information Services Department to enter into a two-year agreement with Dell Technologies for the citywide Adobe Enterprise Agreement. The total amount for the agreement is $186,157.13, annually, based on the current license count, for a total contract amount of $372,314.26. EXECUTIVE SUMMARY The Information Services Department (ISD) manages the Adobe Enterprise Agreement, which covers support and licensing for a variety of Adobe software products, including Adobe Acrobat Pro, Creative Cloud, Photoshop, and others. The current agreement expires in November, and the proposed new agreement will begin in November 2024 and end in November 2026. The agreement is procured through the California Multiple Award Schedule (CMAS), which is competitively bid. Departments determine their own license counts and product requirements based on their specific needs. ISD is responsible for the management of the Adobe agreement, Adobe products, and license distribution. ISD is seeking council approval to enter into this two-year agreement for the total amount of $372,314.26, based on the current license count. BACKGROUND Many organizations, including the city, use Adobe's Enterprise Agreements to manage licenses for Adobe products. These agreements allow organizations to leverage volume purchasing to secure better pricing. Adobe products, such as Acrobat Pro and Creative Cloud, are essential tools used in day-to-day city operations. The agreement also includes Software Assurance, which ensures access to current versions of previously purchased licenses at a reduced cost. ENVIRONMENTAL FINDINGS By the definition provided in the California Environmental Quality Act (CEQA) Guidelines Section 15378, this item is not a project for purposes of CEQA. LOCAL PREFERENCE Local preference was not implemented because the licenses are being procured through a cooperative purchase agreement.
